Privacy Policy

Playi Technologies Inc. ("Playi", "we", "our", "us") is a B2B SaaS company incorporated in Ontario, Canada. We operate a sales methodology intelligence platform that helps sales teams grade call transcripts, identify winning patterns, and improve their playbooks.
We comply with the Canadian Personal Information Protection and Electronic Documents Act (PIPEDA) and, where applicable, the EU General Data Protection Regulation (GDPR).

What Personal Data We Collect
Account data: When you sign up for Playi, we collect your first name, last name, and email address.
Usage data: We collect anonymised, aggregated data about how you use the platform via Vercel Analytics. This tool does not use cookies and does not collect personally identifiable information.
Transcript and playbook data: Sales call transcripts and playbook documents are uploaded by admin users for the purpose of AI analysis and grading. These files may contain the names of sales representatives, prospects, and companies. This data is submitted by you and processed on your behalf.
Communications data: When you contact us, we retain the content of that communication and your email address in order to respond.
We do not collect phone numbers, home addresses, social media profile data, payment card details, or any special categories of personal data.
How We Use Your Data
We use the data we collect to create and manage your account, provide the Playi platform and its features, send transactional emails (account invitations, welcome emails, authentication emails), respond to support or privacy requests, and maintain the security and performance of the platform.
We do not sell your data. We do not use your data for advertising. We do not use your transcript or playbook data to train AI models.
Legal Basis for Processing (GDPR)
For users in the European Economic Area, we process your personal data on the following legal bases:
Contract performance: Processing your account data and transcript data is necessary to deliver the service you have contracted with us. Legitimate interests: Maintaining platform security, preventing fraud, and improving service performance. Consent: Where we send you communications beyond what is strictly necessary to deliver the service.
Who We Share Your Data With
We do not sell or share your personal data with third parties for their own purposes. We share data only with the service providers listed below, who act as data processors on our behalf under written data processing agreements.
Supabase Inc. — Database, authentication, and file storage. Processes account data, transcript data, and playbook data. Located in the USA (AWS).
Google LLC — AI analysis via the Gemini API. Processes transcript text and playbook text. Customer data is not used for model training. Located in the USA.
n8n GmbH — Workflow automation. Transcript text is processed during grading operations. Execution logs are retained for up to 7 days. Located in Germany and the USA.
Vercel Inc. — Application hosting and content delivery. Processes IP addresses and request metadata. Located in the USA.
Upstash Inc. — Rate limiting. Processes IP addresses used as rate limit keys. Located in the USA.
Resend Inc. — Transactional email delivery. Processes recipient email addresses. Located in the USA.
Cross-Border Data Transfers
Playi Technologies Inc. is incorporated in Canada. Our service providers are located in the United States and the European Union. When you use Playi, your personal data may be transferred to and processed in these countries.
For users in the European Economic Area or United Kingdom, these transfers are conducted under appropriate safeguards including EU Standard Contractual Clauses (SCCs) as required by GDPR Article 46.
For Canadian users, we disclose that your data is processed by US and EU-based entities as required under PIPEDA. Each provider has agreed to data protection obligations consistent with applicable law.
Data Retention
We retain your account data and transcript data for the duration of your active subscription and for 30 days following cancellation, after which it is permanently deleted.
Workflow execution logs in our automation infrastructure (n8n) may retain processed data for up to 7 days, after which they are automatically pruned. This is the minimum retention period available on our plan.
Transactional email records are retained by Resend for up to 90 days following account termination.
We may retain certain data for longer where required by applicable law.
Email Communications (CASL)
We send transactional emails that are necessary to deliver the service, including account invitations, welcome messages, and authentication emails.
We will only send you commercial electronic messages if you have given express or implied consent as defined under Canada's Anti-Spam Legislation. Every commercial email we send includes our legal name, mailing address, and an unsubscribe mechanism.
You may withdraw consent at any time by emailing hello@playihq.com.
Your Rights
Under PIPEDA (Canadian users): You have the right to access the personal data we hold about you, request correction of inaccurate data, and withdraw consent to processing. We will respond to all requests within 30 days.
Under GDPR (EEA users): You have the right to access, rectification, erasure, restriction of processing, data portability, and to object to processing. You also have the right to lodge a complaint with your national data protection authority.
To exercise any of these rights, email hello@playihq.com with the subject line "Privacy Request". We will respond within 30 days as required under PIPEDA.
Data Security
We implement appropriate technical and organisational measures to protect your personal data. These include AES-256 encryption at rest, TLS 1.2 or higher for all data in transit, row-level security enforced on all database queries, and multi-factor authentication on all administrative infrastructure.
In the event of a personal data breach that poses a real risk of significant harm, we will notify the Office of the Privacy Commissioner of Canada within 72 hours and affected individuals as required by PIPEDA.
Cookies
Our marketing site (playihq.com) uses no cookies. The authenticated platform uses a single session cookie required for login. No third-party tracking or advertising cookies are set anywhere on our platform.
Children
Our platform is designed for business use by adults. We do not knowingly collect personal data from anyone under the age of 18.
Changes to This Policy
We may update this policy from time to time. When we do, we will update the date at the top of this page. For material changes, we will notify active users by email. Continued use of Playi after changes are posted constitutes acceptance of the updated policy.
